Administrative Assistant

The George Lucas Educational Foundation seeks a part-time administrative assistant. This is a job-share position, reporting to the office manager. The successful candidate will work about sixteen hours per week in our office near San Rafael.

Responsibilities:

  • Answer all incoming calls on the Foundation’s main lines; refer callers to appropriate staff, take messages, and provide general information.
  • Open, sort, and distribute all incoming mail and faxes.
  • Organize, prioritize, and schedule appointments and meetings for the executive director, the chief operating officer, and the controller.
  • Perform general office duties, including photocopying, filing, routing materials, and typing routine correspondence.
  • Process invoices for membership requests.
  • Launch and coordinate an active internship program that correlates to key projects and ensures the recruitment of top candidates.
  • Provide general administrative support to the Human Resources Department.
  • Coordinate ordering of office supplies and code expense reports.
  • Perform special projects as assigned.

Experience, Skills, and Education:

  • Three to five years of related experience.
  • Proven verbal, written, and interpersonal skills.
  • Detail oriented, with excellent time-management and multitasking skills.
  • Resourceful, self-directed, and flexible team player.
  • Well versed in Microsoft Word and Excel; FileMaker Pro experience helpful.
  • Accurately type 60-70 wpm by touch and be a quick study with new software programs.
  • A strong personal or professional interest in bettering public education.
  • High school diploma required; bachelor’s degree preferred.
